Import Tool

Imports allow you to mass-create a set of records that are defined in a CSV file. With the addition of some of the new fields, you can dynamically create category and tag associations. With the Image field, you can add a link to an image, and the importer will associate it to the record. 

You can import the following types of records within Leap Conventions:

Creating a CSV file and Importing

Tip: Use a simple filename for your CSV. Avoid unnecessary spaces and punctuation.

 

The easiest way to make a CSV file is to create one in Google Sheets or Excel. Start with a blank sheet and on the first row enter your field names.

These names do not have to be exactly what is in Leap Conventions because you will manually make the associations using the import tool. 

The import tool is located in the Imports & Exports module, and you’ll see a button for the type of import you would like to perform.  

After selecting the type of import and uploading your CSV, you’ll link what field names go where. You do this by first clicking on your source field name and then clicking on the destination field name that the values will get set to.

  • The tool is color coded for easy matching
  • You don’t need to associate all of the fields. It’s ok to leave extraneous fields if you don’t need them - they will not be uploaded.

Statuses

There are many different statuses for Schedule items and Guests in the Leap Conventions system. Please use statuses from the following lists to ensure accurate imports.

  • Schedule Item Statuses: Complete, Approved, Planning, Important, High Priority, Submission, Waitlist, Declined, Cancelled
  • Guest Statuses: Unconfirmed, Pending, Confirmed, and Cancelled

Categories and Tags

Categories and tags are created and associated with records by an exact name (case sensitive). That means if I have a category previously created in Leap Conventions that have the name “Celebrity Speaker” and I try to import a record with the category “celebrity speaker”, the system will not recognize this as an existing category and create a new one. 

You can also add new categories and tags that do not exist in Leap Conventions by defining what you want the category or tag name to be in the field. Just remember that associations to them need to be exact (case sensitive).

If an import field allows multiple categories or tags a comma “,” must be used to delimit the values. 

Images

The image URL in the import must end with the file name specifically. Oftentimes, an image URL copied from the web can have a modifier attached to the URL like ?width=300. This must be removed so that the last item of the URL path is the file name like ImageName.jpg

The file extension on the image can be any valid image format: JPEG, JPG, PNG, or PDF.

Admission

If you’re using the ‘Product’ import, you have the option to specify whether this product is an Admission product. To do this, simply enter ‘0’ or leave the field blank if it’s not an admission product, or enter ‘1’ if it is an admission product.
