Managing Lotteries and Entries

If we take a trip all the way back to the Lottery Index Page, we can manage all of these Lotteries and Entries. On the index page for each Lottery, there is an Action button with a number of items in the subsequent drop down:

Available Lottery actions

  • Direct Link: This option skips the Event Lottery Page that includes ALL lotteries and just brings the end user directly to the specific Lottery.
  • Export Emails/Entries:  These two options are similar and provide a way to get Attendee data related to this specific Lottery.
  • Award Winners: This is the process by which winners will be awarded. Refer to Awarding Winners.
  • Manage: This option allows for the management of Lottery Entries.  A client can edit or delete entries, as well as manually add entries.  Refer to the screenshot below.
  • Edit: You can change just about everything regarding a Lottery, except for its' type by Editing it.
  • Delete: Delete the Lottery.  Don't do this if there are entries.  It will make everyone upset.

Manage Entries Page

Access the Manage Entries page by clicking Manage from the Actions menu. 

The page displays a list of all entries for the Lottery. Of note is the ability to Manually Add Entry, featured in the top right.  Clicking this brings you to the manual entry page:

This is fairly straightforward, with only one complication. Even if this Manual Entry page was accessed through Managing a specific Lottery, Manual Entries can be placed into any Lottery from here.  

Enter the email, nickname, Lottery, and even Group ID and then click Add Entry.  Keep in mind that Maximum Group Size can be overriden by the Manual Entry using the same Group ID.  There are some known issues with Manual Entries.  Will discuss those later in the article under Known Issues.

Awarding Winners

Click on Actions > Award Winners to begin the final process of deciding who is going to be selected to win the Lottery.

Standard/Waitlist Winners

There is a small dashboard at the top that displays– Entries, Winners Awarded, Completed Purchases, Expired Purchase Links.  

Those last two are important because Standard/Waitlist Lotteries can be used to award the opportunity to purchase a high-demand Product, not just a free Product. The winners will be customized with the following options:

  • Award Type: This can either be a Single Purchase Link (see the separate Knowledge Hub Article regarding SPLs) or a Voucher for a free Product.
  • Number of Winners: Input the number of winners you would like to award.(Protip: Clients can and will likely do multiple rounds of winners per Lottery using SPLs to account for winners who don't complete the purchase.).  It should be stated, even if it is obvious, that a Client can oversell a Product's inventory if they award too many winners.
  • Email Subject Override: Customize the Subject Line for the email that is sent to Winners.
  • Product: Select the Product that the winner is either given or awarded the opportunity to Purchase.
  • Voucher Quantity or Purchase Limit: Select how many of the chosen Product are awarded (Again, keep in mind inventory limits and advise Clients to keep this in mind when inputting a Purchase Limit.)
  • Direct Send Products (For Vouchers): As stated on the page, this is only for Vouchers.  This option dictates the behavior of the Voucher and what is expected of the winner.  Direct Send automatically "claims" the Voucher for the winner and creates an order in the system for them.  Leaving this toggled to "No" requires the winner to click on the link they receive in the email and fill out demographic information to create/complete the order.
  • One winner per email Address: Toggling this to yes limits Attendees to only win once.  This is used for multiple rounds of awarding Winners, as well as insuring that Attendees with multiple entries can only win one time.
  • Expire Hours (For Single Purchase Links): Because of the unique nature of SPLs it is useful to set an expiration timer so that our clients can more effectively manage their Lottery awards.

After each of these items is configured, click the green Award Winners button and the Index below it will begin to populate with the system's selected winners.  This is entirely random except, of course, in the case of a Waitlist which awards winners in order of Entry time instead.  All other options and settings remain the same for Waitlist Lotteries.

Group Winners

In a Group Lottery the small dashboard at the top shows how many Groups are involved, how many Entries there are, and how many Winners have been selected already.  Group Lotteries do not support Single Purchase Links and are only used with Vouchers, with a streamlined process (vouchers are hardcoded to be Direct Send).  Configure they award process by inputting the number of individual winners (individuals, not groups), and customizing the Email Subject Line for the email that will be sent.

The major difference in the UI is the Award Accessible Groups.  This will make sure that all winners awarded will be awarded to Groups that have Accessible entries in them (all entries in the group do not have to be accessible, but still win as a group).

The best practice here for our Clients's implementation of this system is to create an "Accessible" version of the Lottery Product in addition to the regular Lottery Product, so that during the checkin process onsite a distinction is easily made.  In addition Clients will want to do two rounds of awarding winners.  A first round for all of their designated Accessibility seats, and then a second round for all other seats.

Awarding winners is not an instantaneous process.  The system will generate the vouchers and emails and begin sending them out and Clients can see the status of each Processed Awards below the configuration options.

 

Winners will receive an email notifying them that they have won. That email has a link to a Confirmation Page for their Product Voucher, as well as a QR code for redemption onsite.
