Attendee Registration

Overview

Badge activation is designed to collect additional information for every attendee, regardless of whether that attendee is the original purchaser of the ticket, picked up their credential on site, or is attending a virtual event.  Using the Form Builder, event producers can configure their own data collection as they see fit.  The badge activation is also the gateway to our integrations with Leap Epic Experiences and Leap Attendee Engagement.  All the badges are associated with a specific product type in Leap Conventions.  

Typically the badge codes are either generated by us and then sent to badge printers or are imported (in the case of RFID badges and wristbands).  In the case of virtual badge activation, the activation code is found on the confirmation page.  It is possible to have both physical badges and virtual badges at the same time.

The badge activation process is mirrored in the mobile application.

Setup

There is a specific page under Badge Activation for it’s settings.  Here, an event producer can configure the particular style for the badge activation page, control the page's content, and set the form builder form to be used for data collection.

Two tabs at the top of the page will take you to the different sections for configuration: text Content and Images.  See the diagrams in this document to see what is customizable and where those pieces appear on the page.

Form Builder

If the event producer chooses, they can select a form builder form to be included in the badge activation process. By default, during badge activation, we collect the first name, last name, and email address for every badge. These should not be present in the form builder form.

Text content notes

  • The “Activation Info” and “Post Activate Content” fields are rich text fields that can be customized to include rich text and images.  All other text fields are standard and are not meant to be rich.
  • Check the “Load Event CSS?” box at the bottom of the page to load in the default CSS styles from the main event CSS styles.
  • Custom CSS can be included as well.  This CSS will only appear on the badge activation pages.

Images notes

  • By default, header and background images will pull in from event settings and can be overwritten here by uploading a separate graphic.
  • There are certain sections of the badge activation process that will pull in images associated with the ticket type.  These images are uploaded and tied to the product associated with the badge.
  • Badge Example Image is not required but is a place where events can direct attendees to where they can find their activation code.

Ability to Attach Products

Suppose this button is checked after an attendee activates their badge and verifies their email address. In that case, they can attach tickets associated with the activated email address to their badge.  The Check-in app can then scan the credential (RFID or QR code) to check in the attached ticket.

Use Panel Reservations

This advanced feature integrates with Schedule Manager for specific panel reservations.

Uses Epic Photo Ops

If the event is configured to use Leap Epic Experiences, this feature allows the badge activation page to reach Epic Photo Ops directly via their API to pull in any associated photo ops in their system purchased with the email address.  The credential can then be used to check for said photo ops at the event.

User Flow

Traditionally, a credential will have printed on it a unique code that is used to activate that badge.  This code must be in our database and attached to the event.  That code is entered into the activation page to begin the process.  For virtual events, a link from the confirmation page will take them to the badge activation page when available and automatically pre-populate their access code. 

From the badge activation page, attendees can access any other information, attach tickets to their badges, manage their epic photo ops, and more.

If an attendee needs to return to the confirmation screen to manage their credential, they can simply return to the badge activation screen and enter their access code again. After validating the email address they used to activate, they are granted access to the page.

Virtual Event Activation

If an event is using the badge activation component as part of their virtual event dashboard access they will automatically be redirected to the badge activation page if their badge has not been activated and they attempt to access the virtual event.  Their access code will automatically be populated.  After activating their badge/ticket, there will be a call to action to return to the virtual event.  In order for this button to show, the setting for “Enable Dashboard” in “Event Dashboard Settings” must be set to “Yes”.
