Exhibit Space Orders

New Space Orders

The top of the page displays any new orders since the last login. Clicking on View X New Orders reveals the orders.

The order table will display:

  • Date of order
  • Company
  • Order Status (Paid, Not Paid)
  • Contact Person
  • Email
  • Phone
  • Actions - To manage the order

Space Deposit Report

This report shows how many orders have been paid, how many are still owing, how many unpaid deposits exist.

You can send a deposit reminder email (emails if multiple are still owing). If you send the reminder, Leap Conventions displays how many will be sent and then prompts you to confirm. The vendor will receive an email as a reminder to pay off their exhibit space deposit.

Quick Search

Search by space number or by name. This quick search will search across the entire exhibitor database.

Search Orders

Much more robust search with many configurable options: Transaction ID, statuses, payment types, Contact Name, etc.

Quick Search 

This quick search only searches each 25. Example, if I were to have more than 25 orders here my index would be paginated, and then I would use this to search each individual page of 25 to quickly find the order on that page.

Space Orders

  • Date
  • Company
  • Order Status

  • Spaces - How many have been purchase. If you hover, you can see what has been sold.
  • Space Assignment - Shows which assignments exist. A caution symbol will show any space assignment conflict. You can select the edit pencil icon to remove/resolve any space assignment conflicts.
  • Pin - Yes/No - Pin on the map
  • Live - Yes/No - If it is marked as live
  • Image - Yes/No - Has an image associated with it
  • Checklist - Yes/No - Whether the checklist was completed or not
  • Manage
    • *May have a delete button*
      • These orders have been created through a process called Create Manual Order (Exhibit Space Manager > Create Manual Order)* - These are managed almost identically to any organic purchase.
      • Manual order can be used for things like sponsorships, or receiving payments externally, etc.
      • Manual orders cannot be refunded. These can can only be cancelled or deleted.

Managing Orders

After selecting Manage on a specific space order, you will be able to manage many aspects of the order as detailed below:

  • View Confirmation Page - Where we can impersonate the vendor and see their confirmation page
  • Resend Confirmation Email - Resend the confirmation email again if needed
  • Refund Space Order - Refund the order
    • Refund - Full refund - tax, subtotal and service fee (if passed onto the vendor)
    • Partial Refund - Select the specific product to refund (if multiple products are selected)
    • Manual Refund - To refund a specific amount from the subtotal
      • This does not perform auto calculation for tax and additional service fees
      • Manual refunds should be used as a last resort option
  • Cancel Space Order - Deletes the order and public listing
    • Used if you want to nuke the vendor entirely from your show
    • It does not refund the order
  • Exhibit Space Management Page
    • Puts the powers in the vendor's hands to manage all of their own details (data, images, etc)
  • Payoff Page - Another shortcut to the payoff page
  • Order Details - Shows an overview of the order with helpful data. This includes the name of the company, the order details, amounts, payment details and answers to any custom questions.
  • Edit - You can change any details of the order
    • Live In App? Yes/No - Toggles whether the vendor displays in the public app
    • Featured - Yes/No - Gives the vendor a small differentiator in the background color of their listing and also pushes them to the top of the vendor list in the app
  • Checklist Items
    • The to do list for the particular vendor
    • These can be marked as "done" or "do!"
  • Space Assignment
    • Assigns a text tag to the vendor
    • It will be present on the consumer app and front pacing page
    • You will also want to pin the location on the map
  • Notes
    • Internal notes for the management of the vendor
  • Category/Tags
    • Categorize the vendor for your event goers, so they can easily filter/categorize vendors based on these categories
  • Consumer App
    • The map that is present in the consumer app
    • Floor Plan & Other Floor Plan
      • Allows you to enter custom images
      • Unlimited # of images can be uploaded
      • Drag point and click on it to open dialog and click save button to save a new vendor location
  • Vendor Map
    • The map displays on the exhibit space purchase page
  • Management Page Options
    • Used to enable show specials, exclusives, and artist uploads on management pages
    • Voucher Send Quantity - Enter the value of how many vouchers they can send
      • Relates back to General Settings "Management Page Voucher Product"
