Access Schedule Items by using the left-side navigation: Schedule Manager > Schedule Items
The Schedule Items overview/dashboard page will display as follows:

This is the index page of all the schedule items, and all the content that's been created. These display in chronological order–those without a date will appear at the top and those with dates will follow chronologically. The index will display the following information:
- Status
- Name
- What guests have been assigned to it
- What categories and tags have been assigned
- Whether it has an image or not (that displays on the frontend website)
- Start and end time - Required
- Location
- Registration limit
- Registration count
- Registration check-in
Adding Schedule Items
- From the Schedule Items overview page, select Add an Item
- Give the schedule item a custom name
- Customize the schedule item with the remaining fields
- Status - Choose from a preset dropdown list. Marking any items as Complete will mark it ready for public view in the app and frontend website
- Title - Update the name of the schedule item
- Venue Location - Choose from a preset list of venue location
- Start Date/Time - Set the start date and time of the schedule item
- End Date/Time - Set the end date and time of the schedule item
- No Public End Time - Overrides the display of the end/date time on the frontend website or app. This is helpful for photo ops, autograph signings, where it needs to be scheduled properly, but will likely continue until the talent is done.
- Hide Guests - Hides any guests on the front facing display for the scheduled item. Useful for when you want to reveal scheduled guests at a later date.
- Description - Public facing description of what the content is
- Video Link - Add a custom video (YouTube, Vimeo, etc.)
- Bonus Link - Additional link URL
- Bonus Link Text - Customize the text of the bonus link button
- Projected Attendance - Allows organizers to visualize their projected attendance for the event. This capacity can be used when matching a schedule item up with a venue location later in the workflow.
- Internal Notes - Internal notes about the particular schedule item. Useful for to do lists, custom internal messages, etc.
- Paid Event - Internal flags to indicate that it is a paid event. Useful in reporting.
- Paid Event Price - Mark the custom event price
- Announced - An internal flag to indicate announced status. Helpful in reporting/exports in later aspects of the event workflow.
- Show in App - Toggles the schedule item as visible in the app
- Featured in App - Moves the schedule item to the top of the list in the app
- Guests
- Select Click here to add/remove guests to open a new page to add Guests to this schedule item
- Of the available guests, you can select the ‘moderator’ for the particular schedule item
- After selecting guests, they will display under this area in the Schedule Item page
- Schedule Image - Upload the image for the schedule item to display in the frontend schedule
- Categories and Tags - Select from any categories or tags (previously created) or create a new tag on the fly
- Venue Location Features Needed - Select what location features are needed for this schedule item. Helpful when matching a schedule item and venue location up.
- Enable Entitlement Queuing - Related to activation RFID
- Enable Panel Queuing - Related to activation RFID
Reporting
You can export Schedule Item submissions and custom Form Builder responses together in a single file, eliminating the need to manually combine multiple exports.
If your schedule submission workflow uses a Form Builder form (configured in Schedule Manager > Schedule Submission > Submission Settings), this report consolidates all submission details into one export, including schedule item information and each custom form response as its own column.
To generate this report, navigate to Imports & Exports > Schedule Exports and run Schedule Item Submissions (with form builder responses).
The export includes only schedule items with a Submission status and is processed through the job queue to support large data sets.
This report is ideal for event producers who need a complete, submission-level view of schedule data and associated form responses in one place.
