Vouchers

Vouchers are a handy system for sending products to different people, such as staff, customers, and guests, at no cost to them. There are two types of vouchers available:

User-Claimed Vouchers: These vouchers require the recipient to take a small step to claim their product. They will receive an email containing a button to click. Once selected, they can claim the voucher for themselves. They may also be asked to provide some basic demographic information. Once done, they're good to go!

Auto-Claimed Vouchers: This type of voucher is super convenient. Recipients don't need to take any action. The product associated with the voucher is automatically claimed on their behalf.

Managing Vouchers

To get started with vouchers:

In the Navigation Menu, hover over Product Vouchers and select Manage from the flyout menu

You will find yourself on the Product Voucher Index Page. You can search for sent vouchers, filter vouchers by issuing users, create new vouchers, and manage existing ones.

Managing an existing voucher includes the ability to resend it, delete it, or even claim it on the recipient's behalf

Note: A claimed Voucher creates an “Order” within the system, which generates a Confirmation Page (the place where customers manage their tickets and orders).  You can access the Confirmation Page of any Claimed Vouchers here.

 

Sending Vouchers

To send a new Voucher:

  1. From the Manage Vouchers page, select +Create a Voucher
  2. The new page you will land on will allow you to customize a variety of things about the Voucher you are going to send
    1. Company: This field is not required, but is often used for the purposes of Vouchers sent to Sponsors
    2. First Name: Place the first name of the recipient in this field 
    3. Last Name: Place the last name of the recipient in this field
    4. Email Address: This is the most important field, as this is the customers unique identifier in the system, but also the vehicle that delivers the Product Voucher to the recipient.
    5. Description: This is an internal description of the voucher.  You can use this to keep notes on why the voucher was sent.
    6. Recipient Message: It is often helpful to include a message with your Voucher so that the recipient knows what to do with it, or why they are receiving it
    7. Send Product Directly: This is the only configuration option that is not immediately obvious as to what its purpose is.  
      1. The simple explanation is that this toggle differentiates between the two different types of Vouchers listed earlier
      2. Sending the Product Directly automatically creates an order on behalf of the recipient, with no need for them to “Claim” the voucher.  If this option is set to “No”, then the recipient must take action and claim the ticket to be able to use the Product they were sent.
  3. Select the Product or Products that you would like to send, and then the quantity of each, from the dropdown menus on the right side
  4. Finally, select Create Voucher and it will send the product(s) off to the recipient for them to claim or manage

Mass Sending Vouchers

To mass send vouchers:

  1. From the navigation menu, hover over Product Vouchers and select New Mass Voucher
  2. Input the various email addresses you will send a voucher to
    • These can be added line by line (Ex: Enter the email address, select enter, add the next email address)
    • You can only add 100 email addresses at a time
  3. Enter a Description to differentiate it from other vouchers
    1. Adding information in the Description field will populate the product name in the Manage tab
  4. Before selecting Send Product Directly, select the product(s) to be included in the voucher
  5. Select the quantity of products sent from the drop down
  6. Confirm that the quantity and products match what you're trying to send with the voucher
  7. Toggle Send Product Directly to Yes
  8. Select Send Vouchers

If there is an error in the amount sent, you must access the order using the email address in the Orders tab. Go into the order and cancel whichever Product as needed.

 

Reports

You can also check various reports to see the status and behavior of Vouchers you can send, but the Voucher Index Page is largely your home for all Voucher-related activity.  

You can refer back to the Index Page to see the behavior of the recipients you have sent vouchers and see if they have claimed them.
